Cancellations (Hosted Retreats)-
If you, for any reason, need to cancel your reservation at Mountains and Memories, you are responsible for the communication of that cancellation, and for the appropriate cancellation fee. For hosted retreats, your $75 deposit will be kept as the cancellation fee.
If cancellation occurs 30 days or less (for whatever reason) from retreat date you will forfeit half the retreat cost.
If cancellation occurs 14 days or less (for whatever reason) from retreat date you will forfeit the entire retreat cost. Although, we do understand your frustration in not being able to attend the weekend, the retreat did take place and we cannot issue a refund for this weekend. This refund policy is agreed to in the Mountains and Memories terms and conditions when the purchase is made by the customer.
Transferring or changing of weekends is not allowed, you may send someone in your place if you are unable to attend and no penalties will apply. Contact Us if you will be transferring your reservation to someone else.
Minimum occupancy cancellations. A minimum of 8 people must attend in order for weekend retreat to be held; Mountains and Memories reserves the right at their discretion to cancel and re-schedule or offer a refund to current reservations if less than 8 people have registered and paid. During slower times of the year, a minimum of 6 people must attend to avoid cancellation.
Private hosted retreats require all 10 spots to be filled (registered and $75 deposit paid) 120 days in advance of scheduled retreat; if all 10 spots are not filled, the group has two options:
1. If scheduled for a Thursday-Sunday retreat, the group can change their reservation to a Friday-Sunday stay.
2. Open up the remaining spots to outside “angels” to join the group.
3. Keep the original dates and divide the difference due for the remaining spots amongst those attending. i.e. 8 people are attending and 2 spots are left open, $350 X 2=$700, $700/8=$87.50 that will be charged to the 8 people attending. This amount would be added to the final balance that is due 60 days prior to retreat.
Unfortunately, no pro rations will be given in you are unable to attend the entire weekend.

Mountain weather in Colorado can change many times during the day without notice or warning. We enjoy sunny days and cool evenings almost daily. Plan layers just in case. We are located off a State Highway , which is plowed almost immediately during snowfall. In the winter months (Nov-April) it is suggested you drive a snow worthy vehicle and allow yourself extra time so you can enjoy your trip to Estes Park.
